Princípios e diretrizes de gestão documental - o caso do Instituto Federal de Educação, Ciência e Tecnologia Farroupilha: Principles and guidelines of records management - the case of Farroupilha Federal Institute of Education, Science and Technology

This research has the general purpose to develop a Basic Guide with principles and guidelines as an auxiliary tool for records management procedures, published in Ebook format, aiming to contribute to the preservation of institutional documentary heritage and access to the public archival collection of the institution which is the object of this study, the Farroupilha Federal Institute of Education, Science and Technology - IFFar. The document, in the scope of a public institution, besides administrative and legal purposes for which it is created is an important source of research, which by constitutional right, must be accessible to the citizen, for this, it must be properly treated and preserved. Regarding the methodological procedures, this research concerning its purpose is considered an applied study, according to the objectives it is descriptive, according to the nature of the data, it is considered qualitative, from the point of view of technical procedures, the research design is of the case study type because it aims to study a particular situation in specific institutions to allow a broader and more detailed knowledge of the situation addressed. For data collection, first, a bibliographic and documental survey was carried out, focused on the theme, and the second step occurred through a questionnaire with open and closed questions sent through e-SIC to the institution to achieve the research objectives. As it is descriptive research, for the data analysis the tendency was inductive. Concerning the research results, the data indicate that the proper treatment of the institution's documents is not occurring, which ends up generating a largely unnecessary and disorderly document mass and, consequently, the preservation is not occurring in the manner recommended by the legislation and archival standards, which may result in damage and loss of information. Thus, a guide with basic information on records management in an accessible language, easy to understand, focusing on the importance of document preservation, not only by professionals in the field of archival science but by all who produce information, regardless of the support, will bring great benefits to the institution, because taking into account the institutional information as a public good, there may be actions for dissemination and access to information in a quick, safe and transparent way, as recommended by the Access to Information Act - LAI. Thus, it is expected that this research, from the data presented, will serve to reflect on behalf of the preservation of the documentary legacy of the institution, and the product developed can be an auxiliary tool for workers that do not have training in the archival science field.
